TERMS & CONDITIONS / CODE OF CONDUCT AND CLUB RULES

Neath Flyers Academy is committed to safeguarding and promoting the wellbeing of all members.

We believe it is important that all members, parents/guardians, and coaches understand and respect the safety and welfare of others. Members are encouraged to be open and share any concerns or complaints with the Club Welfare Officer or Head Coach.

Membership & Payments

  • Your child’s training session is not confirmed until payment is made.
  • If payments are not kept up to date, we reserve the right to cancel your child’s place, meaning they will be unable to train.
  • If you are experiencing financial difficulties, please speak to us.
  • All members must be registered with Welsh Gymnastics (Sport80).

Attendance & Cancellations

  • If a class is cancelled, we will endeavour to arrange an alternative session where possible.
  • Refunds are not issued for missed sessions due to personal circumstances.
  • Members must inform us if they are going to be late or unable to attend.

Health & Safety

  • All medical conditions must be declared at registration and updated if anything changes.
  • Do not bring your child to training if they have been unwell within the last 48 hours.
  • Coaches must be informed before training if your child has an injury or is feeling unwell.
  • Any required medication must be placed in a clearly named, clear plastic bag for the gymnast to use.

Behaviour & Conduct

  • Respect must be shown at all times to coaches, volunteers, and fellow members.
  • Bullying, disruptive behaviour, or misconduct will not be tolerated.
  • Inappropriate, offensive, or aggressive language (including raised voices) is not acceptable.
  • The use of drugs or alcohol will result in immediate removal from the club.
  • Neath Flyers reserves the right to remove any individual from the club without refund if these rules are breached.

Parental Responsibilities

  • Parents/guardians must encourage children to follow the club rules and code of conduct.
  • Children should never be forced to take part in sport.
  • Focus on effort, personal achievement, and enjoyment—not just results.
  • Parents/guardians must not take photos or videos during training without permission from coaches.
  • Social media posts must not include other children’s names, images, or videos without consent.
  • It is our policy that parents of children under the age of 10 must inform us if they give consent for another person to collect their child, or if they are happy for their child to leave the centre independently to meet them in the car park.
  • If we do not receive this consent via email, your child will remain in the hall until you arrive to collect them.
  • If your child is under 9 years old, a parent or guardian must remain on the premises to accompany them to the toilet or to fill their water bottle.

Photography & Media

  • At registration, you must state whether you consent to your child being photographed for social media and marketing.
  • At competitions, photography may be outside of our control, but we will inform organisers of preferences where possible.

Training Rules

  • Suitable clothing must be worn:
  • Leggings, shorts, or trousers with no zips, buttons, clasps, or belts
  • Close-fitting tops (no hoods)
  • Long hair tied back (no clips)
  • All jewellery removed, including piercings
  • Members must not use equipment without a coach present.
  • Members must inform staff if they need to leave the sports hall.
  • Mobile phones must be on silent and not used during training unless essential.

Safety & Liability

  • Participation in gymnastics carries a risk of injury; coaches are not responsible for injuries sustained during training.
  • Neath Flyers is not responsible for lost property—please leave valuables at home.
  • In the event of a fire alarm, members must stay with their coach and follow emergency procedures.

Respect & Team Spirit

  • Members and parents/guardians must respect fellow participants and support teammates.
  • Celebrate everyone’s achievements and successes.

The Safeguarding and Wellbeing Officer is available for both parents and gymnasts.

Disciplinary Procedure

We expect all members and parents/guardians to follow these rules. Any issues will be addressed promptly.

For persistent breaches, the following 3-step system will apply:

  1. Verbal warning
  2. Written warning
  3. Suspension from attending the club

In serious cases, suspension may be immediate.
